Administrative Assistant Job Opening at the Spirit Lake Chamber of Commerce

 

The Spirit Lake Chamber of Commerce is currently seeking a part time Administrative Assistant. This individual must thrive working in a collaborative environment with volunteers and the public. Duties include updating communications and marketing materials, clerical support, assisting the scheduling, planning, assist with preparation of events and programs, promoting membership, and other tasks as necessary. Job Description

 Maintain, monitor, and update SLCC social media.

Clerical support duties of SLCC operations, processing routine requests for information, organizing, and handling items on a priority basis and timely manner. Typing and proofing a variety of correspondence, forms, memorandums, reports, member mailings, newsletters, and other written materials as directed.

Maintain accurate and organized document management system for SLCC records and files, including up-to-date membership records.

Assist with advertising and marketing duties; create various presentations and promotional/advertising pieces; sell advertising for various projects, promote programs, offers, and other SLCC projects.

Maintain a positive working relationship with our Chamber Members, Partners, and other community organizations.

Receive and screen telephone calls and visitors; provide courteous and responsive assistance; answer questions and provide information to the public; and respond professionally and appropriately when referring complaints.

Be familiar with events/convention, history, lodging, attractions, restaurants, shopping, meeting facilities and sports facilities and any other needed services or information the visitor requests.

Process information requests received via the telephone, mail, email or in person.

Greet all walk-in customers in a courteous and professional manner and direct them to the appropriate staff person.

Arrange, coordinate, schedule, and assist with meetings and meeting facilities; prepare rooms; send notices and announcements as assigned; and arrange or assist with refreshments, as directed.

Attend monthly Board meeting and take minutes.

Attendance at SLCC events outside of normal work hours may be required of this position.

Perform other duties as assigned.

Required qualifications:

High School Diploma or General Education Degree (GED).

Proficient in using Microsoft Word, Outlook, Excel, PowerPoint, and social media (i.e., Facebook, Instagram, etc.) applications.

Valid IA Class D Drivers License.

Required skills, abilities, and knowledge:

Proficiency in Microsoft Office Word, Outlook, Excel, PowerPoint, and social media applications. Strong record keeping and data management skills, and basic internet research skills.

Ability to answer SLCC inquiries from the public or members efficiently, and with a positive attitude, utilizing professional business practices of confidentiality and discretion.

Time management skills in organizing projects and establishing priorities in managing workload, including problem solving skills.

Effective written and oral communication skills, including editing written materials.
